eMploy Updates

Did You Know……?
If your candidate moves or changes personal information on the eMploy system after they apply to your job, the resume or profile they submitted to you will not have the most current information on it?

For the most current information, go to the Job Bids panel on your requisition and click on the Candidate Name.  From the Candidate Summary page, click on Contact Information from the menu selections under the About Candidate column.  You may add or modify information by clicking on the orange CHANGE button.
Make sure to add the new work address and phone number here prior to completing any offers.

When exactly does the UMID number get assigned to new hires?

When the offer is accepted and the background check is complete, your EPC will change the offer status to “hired”.  This status triggers the overnight interface with M-Pathways.  The first phase of the interface is a Search/Match in Bio Demo Data and the assignment of the UMID number.

Who sends that Final Offer Letter anyway?

Your EPC is the best practice resource for creating and sending the Final Offer Letter & will copy you on the letter. If you’d like to have that letter come directly from your unit, we recommend that you modify the formatted letter available in eMploy so that the information remains standard.

Remember, it is required that a signed copy be sent to HR for scanning into the new employee record if you send the letter out directly from your unit.
Work with your assigned EPC on the best method for your unit.

Offers and Candidate Dispositions

Congratulations! You’ve now mastered the process of creating & sourcing job requisitions, made your way through the selection process, and now you’re ready to make an offer to the selected candidate.  So what do you do next?  Well, as this is a required task, you just might want to start with assigning a disposition to the candidates you’ve seriously considered as well as your selected candidate.  Use these steps to complete the disposition process:

  • Open your requisition and select the job bids panel
  • Place a check mark next to the name or names of the person/people you would like to enter a disposition for.
    Hint: You can mass assign the same disposition to many candidates at the same time.
  • From the “Select an Action” drop down box next to the orange ADD button, select “Assign Status”
  • Choose the appropriate disposition for your candidate(s).
DISPOSITION: DESCRIPTION: WHEN TO USE:

Not Qualified

Candidate did not meet minimum posted requirements for the position.

After reviewing the resume it is noted that the candidate does not meet the minimum posted requirements for the position.

Interviewed

Candidate was interviewed for the position.

When candidate is interviewed, but not selected to fill the position.

Reviewed – Not Interviewed

Candidate may have met the minimum posted requirements for the position, but was not interviewed.

When candidate may meet the minimum requirements, but was not interviewed because there were more qualified candidates that were considered.

Pending

This is the default value for this field and if not changed at the time the position is filled, will be considered as "Reviewed-Not Interviewed" for reporting purposes.  It is assumed that all resumes in pending status have been reviewed for qualifications.

Selected

Candidate was selected for the position.

Used exclusively to identify the selected candidate.

Rejected Offer

Candidate rejected job offer.

When a job offer is extended to and rejected by the candidate.

Reviewed

Hiring department has reviewed the resume.

This is a place holder status intended to help units designate which resumes have been reviewed.  Once a final status has been determined, it should be changed to reflect that status.

Rescinded Offer

Hiring department has rescinded the job offer to the candidate.

When a job offer is extended and then rescinded due to an issue either with the candidate or the job status.
Withdrew Candidate withdrew from consideration. When the candidate has indicated that they no longer wish to be considered for the position.

Once dispositions are completed, make sure your candidate contact information is updated including the new work address & phone number (see steps in eMploy Facts section above), then work with your Unit or Central HR contact on salary setting as needed and determine a start date.  Once you have that information, create the Offer in the eMploy system.  For those of you with past M-Pathways experience, you might equate this to the old Hire Information page on the Candidate Summary Form.  The attached “Cheat Sheet” is intended to help you through the Offer Creation Wizard panels.

The Offer Creation Wizard panels are one of the few areas where modifications were made to the eMploy software, so that an automated interface could be built between the eMploy and M-Pathways systems.   This interface has helped to eliminate the delay in data entry of the new employee appointment information, and most new appointments are visible in the M-Pathways system prior to the employee start date.  It has also allowed the University to build a new employee online “Onboarding” process and reduce the amount of paperwork required at time of New Employee Orientation and it allows the new employee to create a uniqname and Level One/UMICH/Kerberos password prior to starting their new position, as well as complete Payroll and Benefits information utilizing the Employee Business portal on Wolverine Access.
